5 Tips to Make Your Outdoor Event a Success
With summer just around the corner, many people are taking advantage of the warm weather and planning outdoor events. For much of the population, Memorial Day is just the beginning of the season’s big event calendar, which means there’s a lot to consider if you’re lucky enough to host such an event. To Ensure your festivities go off without a hitch, we’ve put together a short list of things you’ll definitely want to take care of, especially if your event is to take place outdoors.
1. Is Your Event Right for an Outdoor Setting?
Not all events should take place outside. For example, if your event has anything to do with technology, it’s best that you keep things indoors at a convention center, for instance. If any part of your event can be ruined by outdoor circumstances, it’s best to keep the entirety of the event inside.
2. Can You Book an Outdoor Venue?
The Bay Area is full of outdoor parks and/or concert halls, but these venues book quickly. It’s important to pick your venue and reserve it as early as possible to ensure you can get it when you need it. Be sure you understand the capacity of the venue you choose and that you work closely with management to follow their rules of use.
3. Don’t Forget to Rent Portable Toilets
Even if your venue offers restroom facilities, it’s likely they won’t be enough if you’re expecting a large crowd or your event is slated to last more than one day. Companies that provide porta potty rentals recommend you provide at least one porta potty for every 100 attendees. Increase that number by 20 percent if you’ll be providing food or drink.
4. Have a Rainy-Day Plan
Despite being called the Golden State, California does have its fair share of rainy days. Will you have an indoor option if it rains or will outdoor pavilions or tents be enough? Will rain cause you to cancel the event altogether? Consider these questions and make plans accordingly in case of inclement weather.
5. Will Your Guests be Comfortable?
If your outdoor venue is such that it already includes all the obvious things your guests will need to be comfortable (seating, lighting, etc.), great! If not, you’ll need to see to these things yourself so your guests can enjoy themselves.
